How fast you can actually get promotional products
Most suppliers advertise production time and stay quiet about the other three stages. Here is the whole clock, and what we will commit to in writing.
How long does each stage take?
| Stage | Business days | What decides it |
|---|---|---|
| Artwork and digital proof | 1 | Vector art comes back same day; a photo of a logo takes longer to redraw |
| Production after you approve | 3 to 5 | Standard run. A rush is quoted per job, with the date confirmed in writing |
| Ground transit | 1 to 5 | Distance from the decorating facility. Air freight cuts this to 1 or 2 |
Ordered today, decorated goods arrive Wed, Oct 21 - Mon, Nov 2. Blank stock, which skips the proof and the machine entirely, arrives Mon, Oct 12 - Wed, Oct 14.
Deep stock is what makes a date safe
A short lead time means nothing if the item is not on a shelf. These are engraving-ready and stocked in the thousands right now, which is why they hold a date better than anything made to order.

Order by these dates to be safe
Working backwards from the window above, here is the last day to order for the deadlines people actually have. Each assumes artwork is ready and the proof is approved the next business day.

| Fri, Oct 23 | that date has passed | Rush production or blank stock only, ask us |

What to send us so the date holds
Production starts at proof approval, so every hour saved on artwork is an hour earlier your order ships.
- Vector art wins. AI, EPS, PDF or SVG proofs same day. We redraw usable raster art free, which adds a day.
- One color, high contrast. Engraving is the material's own mark, so gradients and drop shadows are dropped in the proof rather than engraved badly.
- Say where it goes. Or place it yourself on the product page and confirm the layout: that becomes your approved proof and skips a round trip entirely.
- Send the shipping address with the order, especially for events. A hotel or venue needs a contact name and phone on the label.
The seasons that break deadlines
Two crunches matter. Late October through mid December, when holiday gifting fills every decorating queue in the industry, and late spring, when graduation and sports banquets land at once. In those windows, treat the upper end of the production range as the real number and order two weeks earlier than you think you need to. Outside them, the standard window above holds comfortably.
We refuse dates we cannot hit
Checkout asks when you need the order in hand and will not accept a date inside the window above. That is deliberate. An order taken for an impossible date is a refund, an apology and an event that already happened. If your date is tight, ask for a rush quote and we will confirm what is genuinely possible, in writing, before you pay.
What do people actually ask?
How fast can I get engraved promotional products?
Ordered today, Wed, Oct 21 - Mon, Nov 2. That window is the proof (1 business day), production (3 to 5 business days after you approve it) and ground transit (1 to 5 business days), plus a buffer when the stock has to move between warehouses before it can be engraved.
What is the fastest option if the date is tight?
Blank stock, which needs no proof and no machine time, ships Mon, Oct 12 - Wed, Oct 14. If it has to be decorated, production is 3 to 5 business days and air freight cuts transit to one or two days. Working to a tighter date than that? Ask for a rush quote and we confirm in writing what is genuinely possible before you pay.
Why do you ask for my in-hand date at checkout?
Because a promotional order that arrives after the event is worthless. Checkout will not accept a date we cannot guarantee. If your date is sooner than the standard window, it sends you to a rush quote instead of taking your money and hoping.
What slows an order down?
Artwork, almost always. Production starts when the proof is approved, not when you pay. Send a vector file (AI, EPS, PDF or SVG) and the proof usually goes back the same day; a photo of a logo takes longer to redraw. After approval, production runs 3 to 5 business days.
Do you ship blind?
Yes. No supplier branding, paperwork or pricing goes in the box, and your order number is on the packing slip, so a box sent straight to a client or an employee reads as coming from you. Ground freight is free on orders over $250.00.
